Accounting Administrator

Job Description:

Reporting to the President, working with the Client Care Manager and Accountant. This position is responsible for all accounting including Accounts Receivable, Accounts Payable, Billing, Banking, and Domain Name Registration. Provides general administrative support for President

Responsibilities:

  • Returning all telephone calls promptly.
  • Provide dial-up and high speed Internet account set up, cancellation and management.
  • Provide Security Certificate registration, management, renewals and support.
  • Coordinate Network Solutions, SRSPlus and CIRA registrations, reconciliation, renewals and support.
  • Make sure Cira and SRSPlus accounts are topped up with funds.
  • Do cash flow & management reporting
  • Do QuickBooks sales reporting.
  • Do all sales entry into QuickBooks; new contracts, renewal contracts, up sells, website sales
  • Do journal entries in QuickBooks
  • Coordinating office mail, check mailbox and make deposits.
  • Maintaining filing; layout of files and year end filing.
  • Completing month end and year-end accounting and reconciliation. (year end with accountant)
  • Reconcile Bank statements
  • Reconcile Visa statements
  • Reconcile Merchant account statements
  • Product line cost creation and order form, schedules creation and updating.
  • Creation and upkeep of act templates
  • Manage Visa/MasterCard machine, batch daily
  • Updates Act files between main system and admin.
  • Check email, forward to appropriate parties.
  • Data entry and word processing.
  • Annual price book and package pricing creation/updating
  • Create package renewals and send out minimum 45 days before renewal date
  • Set up and maintain manual and digital filing systems for clients.
  • Manage billing renewals.
  • Expense receipt entry
  • Payroll Administration and Management.
  • AP/AR Management
  • Benefits setup and Management
  • GST/PST/Payroll Remittance.
  • Tracking budget actual.
  • Data entry
  • Sales contract revision and updating
  • Tracking competitions/commissions/bonuses.
  • Office supply replenishment.
  • Administering keys to filing cabinets, office; security code for alarm and card for building.
  • Consistently Uses all areas of the Time Management system to it’s fullest
  • Domain name strategy reporting

 

Qualifications:  

  • Be courteous, prompt, and timely and have good attention to detail.
  • Demonstrates the ability to manage their time effectively using a time management system.
  • Be able to operate under pressure and meet deadlines.
  • Excellent Excel, QuickBooks Pro, Act or equivalent CMS, Word, Outlook, skills.
  • Providing impeccable customer service to our clients as 1st priority.
  • Able to work independently on projects and also collaborate as a strong team member
  • Communicate effectively both internally and externally i.e. check email, forward to appropriate parties and reply timely with priority to editing requests or technical support requests. Please cc president.
