Office Manager - Executive Assistant

(Salary, Bonuses, Stock Options Available)

Job Description:

Is the Executive Assistant for the company President-CEO, as well as, provides general administrative support for Sales and Marketing departments. Also Manages all operations; accounting, including Accounts Receivable, Accounts Payable, Billing, Banking, Domain Name Registration and Hosting Registration. Is key liaison between Sales, Production & Legal departments.

Responsibilities:

  • Providing impeccable customer service to our clients and takes all telephone calls as 1 st priority.
  • Form and document creation & up keeping.
  • Coordinate thank you gifts and letters to all new clients and for renewing with us.
  • Manages account set up, process and flow.
  • Manages Security Certificate set up and communications.
  • Coordinate Network Solutions, SRSPlus and CIRA activations, reconciliation and support.
  • Do sales entry in QuickBooks and sales reporting. Also manages accounting backups and security.
  • Coordinating office mail, check mailbox and make deposits.
  • Completing month end and year-end accounting and reconciliation.
  • Debt-control management.
  • Updates Act files between main system and admin.
  • Check email, forward to appropriate parties.
  • Data entry, word processing, and budgeting/budget creation.
  • Procedure writing and upkeep for all departments.
  • Set up and maintain manual and digital filing systems for clients.
  • Manage billing renewals.
  • Payroll Administration and Management.
  • Cash flow, AP/AR Management and Reporting. Writing cheques.
  • Supplier record management.
  • Human Resources screening and interviewing.
  • GST/PST/Payroll Remittance.
  • Tracking competitions/travel/bonuses.
  • Office supply replenishment.
  • Keeping our email list accurate and up to date.
  • Assist in refining and developing our hosting products.
  • Fax broadcast management.
  • Staff training.

Qualifications:  

  • 3-5 years previous office management experience.
  • Management and/or Accounting Certificate or equivalent.
  • 1-2 years in an Internet related industry; Preference given to applicants with previous experience working with an ISP.
  • Be courteous, prompt, and timely and have good attention to detail.
  • Demonstrates the ability to manage their time effectively using a time management system.
  • Be able to operate under pressure and meet deadlines.
  • Excellent Act, Word, QuickBooks Pro, Excel, PowerPoint, email, skills.
  • Providing impeccable customer service to our clients as 1st priority.
  • Able to work independently on projects and also collaborate as a strong team member
  • Communicate effectively both internally and externally i.e. check email, forward to appropriate parties and reply timely with priority to editing requests or technical support requests. Please cc sales.
